  • Lead the stores team to develop and implement strategies to control Post Store/warehouse operations on a day-to-day basis, ensuring compliance with agreed standards and procedures for Post Centralized stores supervision.
  • Supervising new stock supplied into store/warehouse certifying stock accuracy, quality, value for money to ensure all received stocks safely stored, update stock system to tally with anticipated stock level.
  • Provide general administrative support effectively to procurement and departmental heads on the progress and status of office and residential demands.
  • Accountable to review teams performance on regular/monthly cycle or physical audit counts, make adjustments as needed to meet inventory accuracy requirements. Compile daily reports and address inventory discrepancies, to help review stock losses across the supply chain and understand root cause for future non-occurrence.
  • Work closely with the procurement, Estate, IT, Cleaning Store Teams and any other departments to drive the implementation of effective stores activities, focusing on value for money, identifying and mitigation risks with clear priorities, goals, milestones and deliverable within the supply chain.
  • Responsible for the Line management of Deputy Stores managers and through them, champion and embed a collaborative and inclusive culture and instil a continuous improvement mentality within the team.
  • Responsible for the follow up and management of goods received, receipt documents, and keep an updated inventory records including daily supply and receive forecast, and improve accuracy to optimize stock levels, prevent overstocking and running out of stock, also work closely with the supply chain to track supplies and address any delays.
  • Oversee storage conditions, report unsatisfactory quality and providing resolutions where possible. Track stock movements to achieve optimum stock levels and quality products at all times.
  • Ensure that Technical Works Group (TWG) workforce, Estate Team, IT and Cleaning Team has the material resources for their work within approved time frame.
  • Management of fuel disbursement to mission residential/office generators. Coordinate and check fuel distribution waybills, audit excel sheets with the generator Technicians regularly, for smooth monitoring of fuel to make sure there is no waste or misuse of fuel in the system with good monitoring systems in place for adequate cutting down of waste.
  • Direct all company policies regarding environment, health and safety, hygiene standards, and good working practices. Plan and liaise with Health and Safety Team to provide education (H&S) talks on how to properly store, control and handle hazardous substances within the stores/warehouse with compulsory training of Control of Substances Hazardous to Health (COSHH) to teams within the supply chain loop.
  • Receipt any goods/services acquired on behalf of any departments of Post from abroad and local suppliers with official documentation clarifying contractual agreement (PO) and invite tenders/quotations from qualified contractors/Companies for provision of goods and services, following official purchasing guidance, liaising with service providers to ensure an efficient procurement process, offering reliable value for money, service and good quality materials hoard.
  • Provision of monthly/yearly maintenance forecast, budget for Head of sections, Estate Manager for Financial year budget.
  • Assist procurement team for provision of contract between BHC and Contractors with effective contract management process to all goods and services suppliers/providers for the Mission, certify effective contracts’ KPIs are met or exceeded.
  • Monitoring and advising on any issues which present risk in procurement supply chain.
  • Analyse procurement requirements and selects the most appropriate methods based on interpretation and assessment of established policies, practices, and experience.
  • Monitor SLA for supplier set-ups and engage with customers on any non-compliance with policies, rules, and legal requirements.
  • Work with finance department on developing processes and tools to ensure that procurement activity is accurately reflected in business plans and budgets.
  • Procuring for multiple Trades/Artisans for Facilities maintenance services in the mission (Electrician, Plumbers, Masonry, Carpentry, AC Mechanics, Generators, Swimming pools, Health & Safety, and gardeners.
