Reference Samples Officer (or Retained Samples Officer) in a food processing factory is responsible for managing the systematic collection, storage, documentation, and disposal of food samples from production batches. These samples are retained to verify quality, comply with regulations, and serve as evidence in case of customer complaints, legal disputes, or food safety incidents.

• Key Duties and Responsibilities.
• Sample Collection and Identification:Daily collection of finished product samples from each batch (or multiple batches) of production.
• Ensuring samples are representative of the production run and, where practical, retaining samples of raw materials as well.
  Labeling each sample with essential traceability data: batch number, product name, date/time of manufacture, and retention date.

Secure Storage and Maintenance:

• Storing samples in designated, secure, and appropriate environmental conditions (e.g., chiller or freezer) for the duration of their shelf-life, usually lasting until the product is safely consumed or beyond.

Documentation and Traceability

• a meticulous Maintaining register of all stored samples, including their location, to facilitate rapid retrieval during an investigation.
• Complaint Investigation and Testing:Retrieving and providing retained samples for analysis by internal laboratories or external bodies in the event of consumer complaints or suspected contamination.
  If a sample is sent for independent analysis, ensuring proper transportation and storage conditions.
• Regulatory and Audit Compliance:Ensuring compliance with HACCP, GMP, and other GFSI standard requirements regarding sample retention.
  Involved in supporting regulatory, certification body, and customer audits.
• Sample Disposal:
  Meticulously removing and disposing of expired samples after the designated retention period has lapsed, ensuring proper segregation.
